Position description
Vice President Operations
The VP of Operations is responsible for all of the association operations and the supervision of the operations staff. The VP of Operations and the operations staff are responsible for all the administrative functions related to the business management of the IAIDQ, including:
- Processing IAIDQ memberships including processing credit cards, depositing membership checks, sending membership cards, filing and maintaining membership files
- Create, update and properly maintain IAIDQ member and prospect database
- Providing updated membership list with password and member ID to Webmaster as memberships are obtained so Web site can be updated
- Maintaining a well-equipped office
- Responding to IAIDQ telephone calls, faxes, and emails, answering the inquiry and/or directing the caller to the appropriate source
- Writing general correspondence
- Receiving and routing incoming mail
- Coordinating all mailings and emailings
- Developing all IAIDQ forms
- Maintaining all records, including financial, in electronic and hard copy formats where required by regulation
- Tabulating ballots
- Storage of IAIDQ supplies and products
- Storage of all publications and other promotional materials
- Maintaining IAIDQ corporate records
- Maintaining historical files
- Preparing reports to ensure IAIDQ compliance with IRS requirements
- Ensuring IAIDQ compliance with laws governing non-profit organizations
- Filing annual reports with the IRS and the State of Incorporation
- Storing and maintaining tax and financial records
Qualifications:
High degree of organization skills. Good phone and communication skills.
This Director is responsible for day-in and day-out operations. Initially this will mean assisting the other Directors in the operational aspects of their roles. IAIDQ contracts day to day operations to a specialty firm. The VP Operations manages and liaises with the contractor.
